The Prompts page is the central hub for managing and analyzing the questions and searches you are tracking across AI models. This page allows you to organize your tracked prompts into topics, assign specific geographic locations or target audience personas, and monitor how often your brand is mentioned or cited in AI responses for those specific queries. Customers use this page to monitor performance over time, edit prompt configurations, discover new prompt opportunities, and export data for external reporting. By grouping prompts into topics and applying specific filters, you can easily drill down into exactly how your brand is performing for specific segments of your market.What’s on the page
Page Header & Navigation- Page Title: Displays “Prompts” alongside a small info icon (ⓘ) that launches a guided product tour.
- Navigation Tabs: Switch between “Manage” (the main prompts table), “Personas” (audience segments), “Locations” (geographic targeting), and “Discover” (for finding new prompt opportunities). Note: A small lock icon appears next to tabs if they are not included in your current subscription plan.
- Filters: Contextual drop-downs to filter the table by Date range, Models (e.g., ChatGPT, Claude, Gemini, Perplexity), Schedule, Competitors, Personas, Locations, Countries, Prompt Tags, Prompt status (active/paused), and various performance thresholds.
- Action Buttons: Includes an “Add More” menu (to add prompts, topics, locations, or tags), a “Columns” menu to show/hide specific data points, and an “Export as CSV” button.
- Select: A checkbox column used to select individual prompts or entire topics for bulk actions.
- Base Prompt: The actual text of the query being tracked. Clicking this opens a detailed analytics panel for the specific prompt. Includes a small “View responses” button to drill down further.
- Countries: Displays flags for the countries assigned to the prompt. Clicking this area allows you to quickly edit the country settings.
- Mention Gap: The difference between your brand’s mention rate and your competitor’s. Tooltip: “Mention % - Competitor Mention %”
- Citation %: Tooltip: “Percentage of responses that include a citation to your brand”
- Competitor Citation %: Tooltip: “Percentage of responses that include a competitor citation”
- Citation Gap: Tooltip: “Citation % - Competitor Citation %”
- Attributed Citation %: Tooltip: “Citations from content you created in Action Center”
- Mention %: Tooltip: “Percentage of responses that mention your brand”
- Competitor Mention %: Tooltip: “Percentage of responses that mention a competitor”
- Est. Impressions: The estimated brand appearances in AI. Tooltip: “Estimated number of times your brand appears in AI responses (Monthly Queries × Mention %)”
- Tags: Displays badges indicating the prompt’s type (e.g., Branded / Non-branded) and any custom tags. Tooltip: “Custom tags assigned to this prompt”
- Variations: Tooltip: “Number of query variations tracked for this prompt”
- Actions: A three-dot menu (⋯) for individual row actions.
- Uncategorized Prompts Bar: If you have active prompts without an assigned topic, a fixed bar appears at the bottom of the screen showing the count of uncategorized prompts, alongside options to view them or automatically categorize them.
- Bulk Selection Bar: When you check the box next to one or more prompts, a command bar pops up at the bottom of the screen offering bulk actions like Stream Data, Write Content, Pause, Delete, and a More Actions menu.
- Prompt Analytics Panel: Clicking on a prompt’s text opens a side panel with two tabs:
- Overview: Displays metric cards and a “Prompt Variations” table outlining the base prompt versus any tracked variations.
- Search queries: Shows a list of actual web and map searches captured behind the AI responses, expanding to show specific responses when clicked.
- Edit Prompt Panel: Opened via the table row actions. Allows you to edit the prompt text, assign tags, set geographic rules (Locations/Countries), change the assigned topic, and pause/unpause the prompt.
- Response Details: When exploring the “Search queries” tab in the analytics panel, clicking “View response” opens a nested drawer showing the full text, model, and citation data for that specific AI response.
What you can do here
Top-level Actions- Switch Tabs: Click “Manage”, “Personas”, “Locations”, or “Discover” to navigate between different configuration areas.
- Add More: Click the “Add More” button to open a menu where you can click “Add Prompts” (manual or CSV import), “Add Topic”, “Add Location”, or “Add Tag”.
- Show empty topics: Open the Prompt Status dropdown and turn on Show empty topics below the status options to reveal topics with no prompts. It is off by default and is preserved in shared links and saved views. Clear text, tag, or segment filters to manage the complete topic list. This only changes the view; all underlying data is retained.
- Toggle Columns: Click “Columns” to show or hide specific data columns in the table.
- Export as CSV: Click to download the currently filtered view of your prompts as a CSV file.
- Edit: Opens the “Edit Prompt” panel to modify the prompt’s configuration.
- Refresh Volume: Triggers a background recalculation of the prompt’s monthly search volume and estimated value.
- Pause / Unpause: Temporarily stops or resumes tracking for the specific prompt.
- Delete: Opens a confirmation dialog to permanently remove the prompt.
- Reorder Prompts: Drag and drop prompts using the handle (six dots) to reorder them within a topic, or drag them into a different topic group entirely.
- Edit Topic: Click the ⋯ menu on a Topic group row to rename the topic or update its description.
- Delete Topic: Click the ⋯ menu on a Topic group row to delete the topic. Choose Delete Prompts Only to keep the empty topic, or Delete Topic & Prompts to remove both. Empty topics are hidden by default; enable Show empty topics to find a retained topic.
- Stream Data: Immediately re-runs the selected prompts across AI models.
- Write Content: Sends the selected prompts (up to 100) into the content creation workflow.
- Pause / Unpause: Suspends or resumes tracking for all selected prompts.
- More Actions (M): Opens a menu with additional bulk commands:
- Tags: Apply custom tags to all selected prompts.
- Locations / Countries: Bulk-edit geographic targeting.
- Assign topic: Move all selected prompts into a specific topic.
- Refresh volume: Recalculate search volume for the selection.
- View in Olympus / Brand Visibility: Navigates to the main analytics dashboard, automatically filtered to only show data for the selected prompts.
- Create view: Save the current selection as a named “Saved View” for easy access later.
- Export as CSV: Download only the selected prompts.
- Delete: Permanently delete the selected prompts.
- Reset (Esc): Clears your current selection.
- View prompts: Click to see a list of all active prompts currently lacking a topic.
- Categorize: Click to have the AI automatically evaluate your uncategorized prompts and sort them into existing topics (or create new ones).
- Dismiss (Esc): Hide the categorization bar until new uncategorized prompts are added.
Inspect and export captured search queries
Open a prompt’s analytics panel and select Search queries to inspect the web and map searches captured behind its AI responses. The summary shows Unique searches and Responses checked for the selected dates, models, and schedule. Identical searches count once per response, and some responses do not include captured searches. Expand a search to inspect the responses that used it, then choose View response for the full answer. Use Export CSV > Summary CSV for the aggregated searches, or All searches CSV for the detailed records. These are searches the model performed while answering; they are distinct from the prompts you asked Athena to track.Data shown
The data on this page reflects the performance of the exact questions and searches you have configured the platform to run against AI engines. The percentages (Mention %, Citation %, etc.) represent how often your brand or your competitors appeared in the AI responses generated during the selected date range. Search volumes and estimated impressions are calculated by combining third-party keyword data with your actual AI mention rates.Common workflows
Organizing newly added prompts:- Look for the “uncategorized prompts” bar at the bottom of the screen.
- Click “Categorize” to have the system automatically group them into relevant topics.
- Review the newly assigned topics in the table. If a prompt is in the wrong place, click the drag handle on the row and drop it into the correct topic group.
- Use the filter bar to isolate a specific set of prompts (for example, by Topic or Tag).
- Check the “Select all” box at the top of the table.
- In the bulk action bar that appears, click the “More actions” menu (M) and select “Countries”.
- Choose the new countries you want to track, select a primary country, and click “Save changes”.
- Set your date range to include a comparison period.
- Look at the “Mention Gap” or “Mention %” columns for orange badges indicating a drop.
- Click the specific prompt text to open the analytics panel.
- Review Search queries to inspect searches captured behind the answers, then click View response to read an answer in full.
Empty, loading, and error states
- Empty: If you have no data yet, metric columns will display “No data yet”. Empty topics are hidden by default. Turn on Show empty topics to display them as placeholder rows containing “(0)” when no text, tag, or segment filters are active. Topics containing only paused prompts remain hidden under Active. An active prompt with zero responses or missing metrics still appears unless another selected filter excludes it.
- Loading: While data is being retrieved, you will see skeleton shimmers across the table cells. Drawers and panels use spinning loading circles (“AnimatedLoader”) while fetching details.
- Errors: If a panel fails to load data (such as prompt details or search queries), it will display an inline message stating the data could not be loaded, alongside a “Try again” button. If an action fails (like attempting to delete or edit a prompt), a red error toast will appear at the top of the screen.
