# Report Builder (Edit Report)

> Lets a user edit a scheduled report's charts, settings, recipients, and send it immediately or export it as a PDF.

## Purpose

The Report Builder page allows customers to view and edit the contents, scheduling, and delivery configurations of an existing scheduled report. It serves as a visual layout editor where users can preview exactly what their report will look like before it goes out.

From this page, users can customize which charts are included, apply filters to narrow down the data (like specific AI models or locations), modify the delivery frequency and recipients, send a test email, export a PDF, or trigger an immediate delivery to all scheduled recipients.

## What's on the page

* **Page header:** Displays the report's name (e.g., "Edit Weekly brand visibility"). It contains primary actions for the report, including **Export PDF**, **Settings**, and **Send now**. If a background save fails, a **Retry save** button will also appear here.
* **Chart types (Left palette):** A sidebar listing all available chart types for the report (e.g., Share of Voice, Mention Rate, Citation Rate, Position over Time). Each has a toggle switch to add or remove it from the report.
* **Miscellaneous (Left palette):** For website-level reports, this section includes a **Competitor lines** toggle that turns the competitor-average overlay line on or off for supported charts.
* **Report filter bar:** A horizontal bar sitting above the report canvas used to apply shared filters to every chart in the report. It includes a **Saved Views** dropdown to instantly apply the filters from a saved dashboard view.
* **Report canvas:** A drag-and-drop grid displaying live previews of the selected charts. The charts preview the data based on the report's configured frequency (e.g., showing the last 7 days of data if it is a weekly report).
* **Report Settings modal:** Accessed via the **Settings** button. It is a two-step modal with **Build** (a condensed version of the chart editor) and **Send** tabs. The Send tab allows users to edit the report's name, frequency, delivery time, time zone, and recipients. The Send step includes a delivery preview and **Test recipients**. **Export PDF** is available in the settings header from either step.
* **Send now confirmation dialog:** Appears when clicking **Send now**, confirming the exact number and breakdown of active recipients (emails, Slack channels, direct messages) that will receive the report immediately.

### Report filter bar

* **Websites:** (Group reports only) Determines which group member websites' data is included.
* **Topics & Prompts:** Restricts chart data to selected topics or prompts.
* **Models:** Restricts chart data to selected AI models.
* **Prompt Status:** Determines whether the charts look at Active, Paused, or Both types of prompts.
* **Prompt Variation:** Filters by original prompt or variations.
* **Competitors:** (Website reports only) Selects which competitors are included and compared in the charts.
* **Personas:** Restricts chart data to specific target personas.
* **Locations:** Restricts chart data to specific geographic locations.
* **Prompt Tags:** Restricts chart data to prompts carrying specific tags (supports "Is any of", "Is not any of", "Has all of").
* **Target Identifiers:** Restricts chart data by target identifier (supports "Is any of", "Is not any of").

## What you can do here

* **Toggle charts on or off:** In the left sidebar, flip the switch next to any chart name to add it to or remove it from the report canvas.
* **Reorder charts:** On the main canvas, click and drag any chart card to change the order in which it will appear in the final email and PDF.
* **Filter report data:** Use the filter bar above the canvas to apply constraints (like specific models or locations). Click **Add filter** to choose a new constraint, or **Clear All** to remove them. You can also select a saved view from the **Saved Views** dropdown.
* **Toggle Competitor lines:** (Website reports only) Toggle this switch in the left sidebar to overlay competitor averages on supported charts.
* **Export PDF:** Click **Export PDF** in the top right header to download a generated PDF of the current report configuration.
* **Open Settings (Edit Schedule & Recipients):** Click **Settings** to open the modal. Switch to the **Send** step to:
  * Edit the report name.
  * Change the **Frequency** (Weekly, Monthly, Quarterly), day, delivery time, and time zone.
  * Change the **Delivery method** (Email, Slack direct message, Slack channel) and search for a person/channel to add them as a recipient.
  * Remove a recipient by clicking the **X** on their name tag.
  * Click the **Connect** button if Slack is not integrated yet (redirects to the integrations settings).
* **Send a test email:** In the Settings modal's Send step, add up to 10 email addresses under **Test recipients**, then click **Send test email**. Only organization admins can send to other people; other users can send to their own email address. This delivers a sample report with a PDF attachment without altering the scheduled recipient list.
* **Send now:** Click **Send now** in the main page header to immediately deliver the report to all configured active recipients. A confirmation dialog will appear; click **Send now** to confirm.
* **Retry save:** If a chart or filter edit fails to save in the background, click **Retry save** in the page header or on the red error banner to re-attempt the save.

## Data shown

The data displayed in the chart previews is generated from the target website or group's tracked prompts, competitor configurations, and AI model responses. The date range reflected in the preview matches the report's configured cadence (e.g., if set to "Weekly", the charts show the most recent 7-day period and its previous 7-day comparison window).

## Common workflows

1. **Edit report charts and filters:**
   1. Open **More actions > Manage reports** on Olympus (or the group dashboard menu for a group report), then open the report you want to edit.
   2. Toggle desired chart types on or off in the left chart palette.
   3. Adjust shared filters in the top filter bar, or apply a pre-configured saved view from the dropdown.
   4. Drag and drop chart cards on the canvas to place them in the perfect order.
   5. Changes save automatically; watch the page header to ensure the save state completes.

2. **Update delivery schedule and recipients:**
   1. Click the **Settings** button in the top right of the page header.
   2. Click the **Send** step indicator at the bottom of the modal.
   3. Edit the report name, delivery cadence, time, and time zone as needed.
   4. Add new recipients via the Delivery method dropdown, or remove existing ones by clicking the X on their tag.
   5. Click **Schedule** to close the modal.

3. **Send report immediately:**
   1. Click **Send now** in the page header.
   2. Review the recipient count and channel breakdown in the confirmation dialog.
   3. Click **Send now** to confirm delivery.
   4. Look for the success or partial-failure toast in the bottom right corner.

## Empty, loading, and error states

* **Loading:** Skeleton placeholders appear in the header, and two large skeleton blocks mask the canvas while the report loads.
* **Empty (No charts):** If a user removes all charts from the report, the canvas displays a "No charts yet" graphic with instructions to switch on chart types in the sidebar.
* **Empty (Group report):** If a group report targets a group that has no valid tracked websites, a "Group has no reportable websites" message replaces the canvas.
* **Error (Missing Report):** If the report is deleted or the user lacks access, a brief "Report unavailable." message appears before redirecting the user to the Olympus dashboard.
* **Error (Failed Save):** If a background save fails, a red banner stating "Report content did not save." appears at the bottom of the canvas with a **Retry** button. A "Retry save" button also appears in the page header, alongside a red "Failed to save report content" toast notification.

## Common support questions

**Why is the "Send now" button disabled?**
The "Send now" button will be disabled if there are zero active eligible recipients configured on the report, or if you recently made chart changes that haven't finished saving yet. Hovering over the button will display a tooltip explaining exactly which condition is blocking it.

**Why is the "Export PDF" button disabled?**
Exporting a PDF requires at least one selected chart and, for group reports, at least one reportable website. It also requires any recent edits to finish saving in the background. If the save state is "saving" or "error", the export button will remain grayed out.

**Why can't I edit the shared filter bar?**
If the charts in your report have individual, differing filters applied to them, the shared filter bar is disabled to prevent accidentally overwriting those specific settings. The UI will display a message reading: "Charts have individual saved filters. Shared filter editing is disabled to avoid overwriting them."

**Why can't I add a specific teammate as a recipient?**
Unless you are an organization administrator, you can only manage your own email subscription for a report. Organization admins have the required permissions to add, remove, or toggle other recipients (including Slack channels and direct messages).

**Why don't I see "Competitor lines" or Brand Traits charts on my report?**
Group-level reports only support a specific subset of charts (Share of Voice, Mention Rate, Citation Rate, Position over Time, Dollar Value Captured). The Competitor lines toggle and specific charts like Positive/Negative Brand Traits and Attributed Citations Growth are exclusive to single-website reports.
