# Outreach

> Triage pages AI cites as outreach opportunities: find authors, draft pitches, and track outreach status through a Kanban pipeline.

## Purpose

The Outreach page helps customers leverage their AI search performance for link-building and PR. It serves as a triage center for the web pages that AI models are citing in response to the customer's tracked prompts.

From this page, users can discover which high-impact pages already cite them (or their competitors), use AI to find the authors of those pages, draft personalized outreach emails, and track the entire pitch process from "New" to "Done" using a built-in Inbox and Kanban board.

## What's on the page

**Page Header**
Displays the page title, a brief description of its purpose, and a toggle to switch between the **Inbox** tab (a list-based triage view) and the **Board** tab (a Kanban pipeline view).

**Filter Bar**
Contains saved views and a standard set of filters (Search, Date range, Prompt tags, Models, etc.) that control which opportunities appear. On the right, it features a **Tags** button and a **⋯** (More options) menu.

**Opportunity List (Inbox Tab)**
A scrollable, sortable table listing all cited pages that match the current filters.

* **(checkbox):** Used to select specific rows for bulk actions. Checking the top header checkbox selects or deselects all currently loaded rows.
* **Page:** Shows the website's favicon, root domain, and specific URL path.
* **Status:** The current stage of the opportunity in the pipeline (`New`, `Todo`, `In Progress`, `Done`, or `Rejected`).
* **Citation %:** The percentage of responses that cited this specific URL.
* **Est. impr.:** Estimated monthly impressions for this URL, based on the search volume of the prompts that cited it.
* **Citations:** Total absolute number of times this URL was cited.
* **Mentioned:** Indicates whether the customer's brand was mentioned in the responses citing this URL. Values are `Yes`, `No`, or `No data`. Tooltip for No data: *"Page could not be scraped, so brand presence is unknown."*
* **Competitors:** Displays logos of tracked competitors mentioned alongside this URL. Also uses the `No data` badge and tooltip if the scrape failed.

**Opportunity Detail Panel (Inbox Tab)**
Appears on the right side of the screen when a row is selected.

* **Header:** Shows the domain, path, a link to **View analytics**, and buttons to open the URL in a new tab or close the panel.
* **Properties:** Dropdowns to change the pipeline **Status** and assign a teammate via the **Assignee** picker.
* **Metrics summary:** Shows Citation rate, Est. impressions, Citations, AI access status, First seen date, Brand mentioned, and Competitors.
* **Author section:** Tools to find or manually enter the author's name, email, and LinkedIn profile.
* **Message section:** Tools to draft, edit, and send a personalized pitch email.

**Kanban Board (Board Tab)**
Organizes outreach targets into draggable columns representing their status: **Todo**, **In Progress**, **Done**, and **Rejected**.

**Bulk Action Bar**
A floating bar at the bottom of the screen that appears when one or more rows are checked in the Inbox list. Shows the count of selected items and available bulk actions.

## What you can do here

**Navigation & View Management**

* **Switch views:** Click the **Inbox** or **Board** tabs in the top header to change how opportunities are displayed.
* **Manage Tags:** Click the **Tags** button in the filter bar (or inside the mobile overflow menu) to open the Source Tags drawer. Here you can create, edit, or delete custom tags for domains and pages, either manually or by uploading a CSV.
* **Export as CSV:** Click the **⋯** menu (More options) in the filter bar and select **Export as CSV** to download the currently filtered list of opportunities.

**Inbox Triage & Bulk Actions**

* **Open detail panel:** Click any row in the Inbox list (or press `Enter` while the row is highlighted) to view the Opportunity Detail panel.
* **Sort list:** Click the Sort dropdown in the list header (e.g., "Citation %") to change the sorting criteria. Clicking the active criteria again flips it between ascending and descending.
* **Bulk actions:** Select rows using the checkboxes. From the floating bulk bar, you can:
  * **Find authors:** Runs AI extraction for all selected rows to find author names and contact info.
  * **Draft messages:** Generates AI pitch emails for all selected rows.
  * **Start:** Moves selected rows to the "In Progress" status.
  * **Reject:** Moves selected rows to the "Rejected" status (removing them from the default active queue).
  * **Clear selection:** Deselects all rows (can also be done by pressing `Escape`).
  * **Cancel bulk progress:** If a bulk "Find authors" or "Draft messages" task is running, click **Cancel** to stop any remaining pages in the queue from processing.

**Working in the Detail Panel**

* **Change Status & Assignee:** Use the dropdowns at the top of the panel to update the status or assign the opportunity to a teammate. Both actions are recorded in the Activity history.
* **Find author:** Click **Find author** to automatically search the page for contact details.
* **Edit author:** Click **Edit** in the Author section to manually type or fix the author's Name, Email, or LinkedIn URL, then click **Save**.
* **Customize prompt:** Click the gear icon (**Customize the generation prompt**) in the Message section to add specific instructions for the AI on how to write your pitch (e.g., tone, product highlights).
* **Draft message:** Click **Draft message** to have the AI write a pitch email based on the website's content and your custom instructions.
* **Edit message:** Click **Edit** (or press `⌘E`) to manually adjust the Subject line or Message body. Click **Save** (or press `⌘S` while typing) to keep your changes.
* **Send email:** Once a draft is saved, click **Open in mail client** (or press `⌘⏎`) to open your computer's default email app with the To, Subject, and Body fields pre-filled.
* **Copy contents:** Click the copy icon next to the email address to copy just the email. Press `⌘⇧C` to copy the full composed email (To, Subject, and Message).
* **Check AI Access:** Click the AI access badge to scan whether the target domain blocks AI bots from reading it.

**Working on the Kanban Board**

* **Move cards:** Drag and drop cards between columns to update their status (e.g., from Todo to In Progress).
* **Reorder priorities:** Drag cards up or down within the same column to reorganize priorities. This sort order is shared team-wide.
* **Assign teammates:** Click the circular avatar icon on any card to quickly assign or reassign it.
* **Open detail panel:** Click anywhere else on a card to immediately switch to the Inbox tab with that opportunity's detail panel open.

**Keyboard Shortcuts (Inbox)**

* `j` or `↓` / `k` or `↑`: Move the cursor highlight up and down the list.
* `Enter`: Open the detail panel for the highlighted row.
* `x`: Reject the highlighted row (or bulk-reject if rows are checked).
* `s`: Start (mark "In Progress") the highlighted row or selection.
* `a`: Bulk "Find authors" (only works when rows are checked).
* `d`: Bulk "Draft messages" (only works when rows are checked).
* `o`: Open the highlighted row's URL in a new browser tab.
* `Escape`: Clears row selections. If no rows are selected, closes the detail panel.

## Data shown

The page displays distinct URLs cited by AI models across the prompts the customer is tracking. The citation and impression metrics align with whatever date range, prompt, or model filters the user has applied in the top filter bar.

Contact information (author name, email, LinkedIn, message drafts, status, and assignee) is saved specifically to the customer's workspace. Competitor logos populate based on the competitors the customer has configured for their brand.

## Common workflows

**Triage a new opportunity**

1. Go to Outreach and ensure you are on the **Inbox** tab.
2. Click a promising row to open its detail panel.
3. Click **Find author** to automatically extract contact info, or click Edit to enter it manually.
4. Click **Draft message** to generate an AI outreach pitch.
5. Click **Open in mail client** to send the email from your own outbox.
6. Change the status dropdown from "Todo" to "In Progress", and eventually to "Done" once the placement is secured.

**Bulk enrich and draft for many pages**

1. In the Opportunity List, check the boxes next to multiple target rows (or use the header checkbox to select all).
2. In the floating bulk action bar at the bottom, click **Find authors** to enrich all selected rows at once.
3. Next, click **Draft messages** to pre-write pitches for all of them.
4. A progress indicator will appear, followed by a toast summarizing how many succeeded or failed.
5. Use the bulk bar to click **Start** to move them all into the "In Progress" pipeline.

**Track outreach on the Kanban board**

1. Click the **Board** tab in the page header.
2. Review opportunities currently in the "Todo" column.
3. Drag a card into "In Progress" as you begin working on it.
4. Click the avatar icon on the card to assign it to the team member handling the outreach.
5. Once the outreach is successful or concluded, drag the card into "Done" or "Rejected".

## Empty, loading, and error states

* **Loading:** A centered animated loader appears while opportunity lists or Kanban data are being fetched.
* **Empty Inbox:** Shows a "No opportunities match these filters" message with advice to widen the date range, clear filters, or check the Opportunity status filter if looking for rejected items.
* **Empty Board:** Shows "Nothing in the pipeline yet" and explains that starting or drafting an opportunity in the inbox will make it appear on the board.
* **Error:** Displays "Unable to load outreach data. Please try again." along with a "Try again" button to attempt reloading the data.

## Linked from / links to

* **Linked from:** The main sidebar navigation ("Outreach"). Can also be reached via deep links (e.g., URLs containing `?tab=board` or `?sel=<url>` to auto-open a specific opportunity).
* **Links to:** The Source Analytics page (via the "View analytics" button in the detail panel). Also links out to external target URLs and native email clients.

## Common support questions

**Why are some opportunities labeled "Rejected"?**
Opportunities you mark as "Rejected" are removed from the default active queue so you can focus on viable targets. You can still view them by changing the "Opportunity status" filter in the top bar to include canceled/rejected items.

**How are credits used here?**
The "Find authors" and "Draft messages" actions each cost 0.1 credits per successful row. You are billed in whole-credit increments as successes add up. If the AI fails to find an author or fails to write a draft for a row, you are not charged for that row.

**I accidentally rejected a page. Can I bring it back?**
Yes. Immediately after rejecting, an "Undo" option appears in a toast notification. If you miss the toast, open the filter bar, change the "Opportunity status" filter to include rejected items, find the row, click it, and change its status back to "Todo" or "New".

**Why don't I see any metrics for my selected opportunity?**
If you navigate directly to a URL link for an opportunity that doesn't match your current date range or prompt filters, the panel will display a message reading: *"This page isn't in the current opportunity feed."* You can still edit the contact info and drafts, but citation metrics won't display until you adjust your filters to include it.

**Why can't I access the Outreach page?**
The Outreach workflow is a premium feature. Organizations on a Free plan will see an upgrade lock screen instead of the tool. You will need to upgrade your subscription plan to unlock it.
